Deposits Feature How To Guide

Setting up Deposits

  1. Click on the Services tab at the top of your software after logging in.

  2. Select the service that you wish to setup a deposit for.

  3. Scroll down on the service to the Deposits section.

  4. Turn the Deposit feature On.

  5. Enter the percentage or fixed amount that will be charged as a deposit when scheduling the appointment.

  6. Click on Save at the bottom right to save the service.

Collecting Deposits

  1. Now that the deposit feature is turned on for that service, you can navigate to the Appointment Book to see it in action.

  2. Click to create an appointment as normal, however, when you select a service that requires a deposit, you will see Collect Deposit and Schedule.

  3. Clicking that button will initiate the deposit collection screen.

  4. Here you will choose how the customer is paying, whether it's with their Credit Card, Cash, Gift Card, Custom, or Check. At the bottom of the pop-up, you can also choose Pay Later. Pay Later will allow you to collect the deposit later or as a part of a multi-ticket checkout.

    • Using our integrated Credit Card Processing will allow you to save a card on file as well as charge the customer with their credit card through our software.

  5. Click Proceed at the bottom right to collect the deposit.

  6. If the deposit was successful, the ticket will be created and scheduled. If the deposit was not successful, you will see a pop-up indicating the funds weren't available.

  7. Please note: Accepting deposits is only available in the browser version of your DaySmart Software.

Modifying Deposits

  1. Starting from the Appointment Book, select the appointment you wish to modify the deposit for.

  2. Select Appointment Details.

  3. Select Modify Deposit. Change the amount and then follow the steps to finish collecting the deposit.

    • Modifying a deposit happens per ticket. Changing it here will not change the deposit to be collected for each service.

  4. Select "Save & Collect Deposits".

Turning Off Deposits

  1. Starting from the Appointment Book, select the appointment you wish to modify the deposit for.

  2. Select Appointment Details.

  3. Under Modify Deposit. Toggle the button for "A deposit is required for this appointment".

  4. Select Update.


โ€‹Taking Deposits for Services that Don't Require a Deposit

  1. Starting from the Appointment Book, select the appointment you wish to add a deposit for.

  2. Select Appointment Details.

  3. Under Add Deposit, Toggle the button for "A deposit is required for this appointment".

  4. Enter the value you wish to collect for the deposit.

  5. Select the Add button.

  6. Select "Save & Collect Deposits".


โ€‹Deposits for Online Requests

  1. If a customer requests an appointment online on a service that a deposit is required for, you will see that when accepting/rejecting the online appointments.

  2. From the appointment book, click on Online Requests at the top right of the appointment book.

  3. Clicking the 3 dots on the pending appointment, you will see the option to Collect Deposit and Accept.

  4. Clicking that is going to bring up the same secondary deposit screen as above.

  5. Choose the deposit method, click Proceed and the appointment will be scheduled.

Reporting on Deposits

  1. Click on More and then Reports.

  2. Choose the Sales Total and Sales Tax by Range of Dates report.

  3. Here you will see two new rows.

  4. Deposits Collected represents the sum of all deposits collected when scheduling appointments.

  5. Deposits Used represents only deposits from Closed Tickets.

  6. Clicking Details in this report will open up a detailed report for each of the rows.

Refunding a Deposit

You can refund a deposit by Canceling, or Voiding the ticket associated with the collected deposit.

  1. Navigate to the ticket you wish to No Show (Cancel) or Void

  2. Using the Action drop down menu on the top right of the ticket, select to Void or No Show (Cancel) the ticket

    • Please be sure to select Void Credit Card Transaction when voiding a ticket payed by credit card.

  3. You will then see the options for how to return the deposited funds

    • Option 1 will be to return funds to the original form of payment

    • Option 2 will be to add funds as a credit to the customers account

  4. After selecting your refund option, click the Void/Cancel Appointment button on the bottom right of the pop-up to finalize the refund

Refunding Deposits FAQs

Q. How do I refund a deposit paid by a gift card?
A. Deposits paid by gift card can be refunded as a client balance credit only. This will be the only option when following the refund steps listed above.

Q. What happens to deposit refunds when voiding bulk appointments?
A. The deposit will not be refunded for bulk voiding and can only be refunded when voiding individual tickets.

Q. Will there be reporting for deposit refunds?
A. Yes! You will be able to access the following reports: Deposits Collected, Deposits Refunded, Deposits Used
